M2008 and M2616 MODEL USER INSTRUCTIONS
Determine phone type by looking for model number on bottom of phone.
Receiving Calls:
The black triangle next to the ringing line will flash.
To answer lift receiver or press Handsfree/Mute button.
To place a call:
On campus – Lift receiver or press Handsfree/Mute button. Dial 4 digit extension number.
Off campus – Lift receiver or select Handsfree/Mute button. Dial 9 + number.
(Note: Long Distance calls outside of Alabama require a PIN code. Contact your budget manager in order to obtain a code.)
Feature Buttons:
Autodial – Allows user to automatically dial frequently called numbers by pressing a single button.
TO PROGRAM: Leave handset in cradle, press any blank button on phone. The arrow next to the button will blink. Dial 4 digit extension number or 9 + the number you want to store. Press the same blank button to save the number (blinking arrow will go out).
TO USE: Select outgoing line or pick up handset, then press autodial button. Blank labels for autodial buttons are available in 114 Patton.
Conference – Allows up to 6 parties to share one conversation.
TO USE: Place first call, press Conference button, use 2nd line on phone to place second call, when second party answers, press Conference button to join all three parties together. You can continue placing calls up to a maximum of 6 parties, either on or off campus.
Forward – Allows user to forward all calls to another location on campus or directly to voice mail.
TO USE: Leave handset in cradle, Press Forward button, enter extension number where calls will be answered, press Forward button.
TO CANCEL: Press Forward button. Display will show CFWD when phone is in forward mode.
Hold – To put call on hold, press Hold button, press button next to flashing arrow to return to call.
Last Number Redial – Allows user to re-call last number dialed.
TO USE: Press Extension (bottom or bottom right button) button twice.
Message – The red triangle on phone lights when there are unheard voice messages. To retrieve messages, press Message button, and follow prompts.
Park – Allows user to park call and pick up on another extension.
TO USE: Press Park button. Read display to identify park code number (ie. 100). From any other phone pick up handset and dial park code to retrieve parked call.
Pick Up – Allows user to pick up calls ringing on other desks in the group.
TO USE: Press Pickup button. If phone does not have Pickup button, Press *3. To answer a specific phone, Press *7 then extension number of ringing phone.
Transfer – Allows user to transfer call to another extension on campus.
TO USE: With incoming caller on line, press Transfer button then dial extension number of person who will receive the transferred call. You may announce the caller, then press Transfer button again to complete the call. To transfer without announcing, press Transfer button, extension number, then Transfer button.

VOICE MAIL USER INSTRUCTIONS
Voice Mail allows the user to send, store and retrieve messages from anywhere in the world. The system is user friendly and provides help at every level (to use the Help feature, press * at any time during the voice mail session. A prompt will explain the options available).
To access Voice Mail System on campus: Dial 4999
To access Voice Mail System from any other phone: Dial 372-4999
To access Voice Mail Quick Message: Dial 4998 or 372-4998
Following the prompts, enter your mailbox number (mailbox number is the same as the extension) then press the # key, enter password then press the # key, then follow the prompts. Initial users should be sure to press 84 (to change password), 89 (to record name onto mailbox), 801 (to enter extension number of department secretary as the personal operator), and 82 (to record greeting)
NOTE: Departmental Secretaries MUST include the name of the department in the greeting for their voice mailbox. All callers should be able to reach a real person at all times. Department managers should designate an alternate primary answer position in the office for use during peak call times and other times when the secretary is away form the main office desk. AT NO TIME DURING REGULAR OFFICE HOURS SHOULD THE PRIMARY DEPARTMENTAL TELEPHONE BE UNMANNED. Departments with extensive callbacks to the main switchboard from the primary departmental number will be contacted in order to address the particular circumstances and create a solution consistent with AAMU policies.
